How to share my Google calendar with my double?

Calendar management is one of the first (and most needed) tasks to delegate to an executive assistant, to keep yourself on track, stay organized, and plan ahead.

🤝 Set your double as a delegate of your calendar

On your computer, open Google Calendar.

  1. On the left, find the My calendars section. You might need to click it to expand it.

  2. Point to the calendar you want to share.

  3. Click More > Settings and sharing.

  4. Under Share with specific people > click Add people.

  5. Enter your double’s email address.

  6. Under Permissions, click Make changes and manage sharing.

  7. Click Send.

Your double can now view and edit your calendars. Next step is for your to

  • Share your preferences how you like your calendar to be managed, so your double can schedule events for you, the way you like it.

  • Set a routine for checking in with your assistant to review your calendar and pivot as necessary. Priorities can change, and by prompting a discussion you are maximizing and managing your time effectively.

🤔 Troubleshooting tips

Your double can see the free/busy status, but can't see the content of your events? Your calendar sharing options must be restricted. In the Google Admin console, go to Apps > G Suite > Calendar > Sharing settings. Under External sharing options for primary calendars, select one of the Share all information options.
